VoiceAgent (“we”, “us”, or “our”) is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, who we share it with, and the choices available to you when you use our platform at usvoiceagent.com.

1. What Data We Collect

We collect information that is necessary to provide, maintain, and improve the VoiceAgent service. The categories of personal data we collect include:

Account Information

When you create an account, we collect your name, email address, company name, phone number, and password (stored as a secure hash). We also retain your account creation timestamp and profile preferences.

Call Recordings and Transcripts

VoiceAgent processes voice calls on your behalf. Depending on your configuration, this may include audio recordings of calls, real-time or post-call transcripts, caller ID information, call duration, timestamps, and call outcome metadata. You are responsible for obtaining any legally required consent from call participants in your jurisdiction.

Usage Data

We automatically collect data about how you interact with our service, including pages visited, features used, API request logs, browser type, operating system, IP address, and session duration. This data is used to improve product reliability and performance.

Payment Information

When you subscribe to a paid plan, billing details such as your card’s last four digits, card type, billing address, and transaction history are processed by our payment provider, Stripe. We do not store full card numbers or CVV codes on our systems.

2. How We Use Your Data

We use the personal data we collect for the following purposes:

  • Service Delivery. To create and manage your account, provision phone numbers, route and process voice calls, and deliver the core functionality of the platform.
  • Billing and Payments. To process subscription fees, generate invoices, handle upgrades or downgrades, and manage refund requests.
  • Analytics and Improvement. To understand how customers use VoiceAgent, identify bugs, measure feature adoption, and make product improvements. Analytics data is aggregated and anonymized where possible.
  • Communications. To send transactional emails (account confirmations, invoices, password resets), service announcements, and — with your explicit consent — product updates and marketing emails. You can unsubscribe from marketing emails at any time.
  • Security and Fraud Prevention. To detect, investigate, and prevent fraudulent transactions, abuse, and other illegal activities.
  • Legal Compliance. To comply with applicable laws, regulations, and lawful requests from public authorities.

3. Data Sharing

We do not sell your personal data. We share data only with trusted sub-processors that are contractually bound to protect it and use it solely for the purposes we specify:

4. Data Retention

We retain your data for as long as necessary to provide the service and comply with our legal obligations:

  • Account data (name, email, settings, billing history): retained for the duration of your account, plus 30 days after account deletion to allow for recovery requests.
  • Call recordings and transcripts: retained according to your plan — 7 days (Starter), 90 days (Business), or 1 year (Enterprise) — after which they are automatically deleted unless extended retention is enabled.
  • System and access logs: retained for 1 year to support security investigations and compliance audits.
  • Payment records: retained for 7 years to satisfy tax and accounting requirements.

After the applicable retention period, data is securely deleted or anonymized so that it can no longer be associated with you.

5. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Right of Access. You can request a copy of the personal data we hold about you.
  • Right to Deletion. You can request that we delete your personal data, subject to our legal retention obligations.
  • Right to Portability. You can request an export of your data in a structured, machine-readable format.
  • Right to Correction. You can request that we correct inaccurate or incomplete personal data we hold about you.
  • Right to Object. You can object to certain types of processing, such as direct marketing.

Most browsers allow you to control cookies through their settings. Disabling essential cookies may prevent VoiceAgent from functioning correctly.

7. Security Measures

We implement industry-standard technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction:

  • All data in transit is encrypted using TLS 1.2 or higher.
  • Data at rest is encrypted using AES-256 encryption.
  • Passwords are hashed using bcrypt with a cost factor of 12 or higher.
  • Access to production systems is restricted via role-based access controls and multi-factor authentication.
  • We conduct periodic security reviews and vulnerability assessments.

Despite these measures, no system is 100% secure. If you discover a security vulnerability, please report it responsibly to legal@usvoiceagent.com.

8. Children’s Privacy

VoiceAgent is not directed at children under the age of 13, and we do not knowingly collect personal data from anyone under 13. If you are a parent or guardian and believe your child has provided us with personal data, please contact us at legal@usvoiceagent.com and we will delete such data promptly.
